Control principle: Plaid is the bank truth, Housecall Pro is the deposit-intent source, QuickBooks is the obligation ledger, and payroll email is supporting evidence. Cross-source duplicates are matched before they enter the forecast.

Apply the confirmed cash controls

First Service checking funds operations; savings is protected reserves. Trigger a warning if either account falls below $1,000. The forecast does not silently transfer savings into checking or use credit availability to mark bills covered.

Connect eleven accounts

Kyle/admin connects First Service Credit Union checking and savings, the Citi Home Depot card, each of the three commercial Lowe's cards through its separate Synchrony login, the BILL card, three Ally vehicle loans, and the TD Bank auto loan. Plaid will be tested for each institution; direct provider or QuickBooks data may supplement unsupported cards or loans. Credentials are entered only into the provider's authorized connection screen.

Connect Housecall Pro payouts

Use the My Money payout view or an approved export/API feed to ingest “pending,” “in transit,” “paid,” expected deposit date and net amount. Only “in transit” or equivalently evidenced payouts become confirmed incoming cash.

Connect QuickBooks Online

Authorize Accounting read access. Import open bills, vendor due dates, recurring transactions and historical payment patterns. Plaid remains the cash balance authority; QuickBooks supplies planned obligations and accounting context.

Authorize Whitney payroll email

Use a dedicated Gmail integration with read-only access and a narrow search query for whitney@financialgrowthservicesllc.com plus the approved payroll subject pattern. Parse pay date, debit amount and funding deadline; route low-confidence or changed figures to review before forecasting.

Backtest, approve, then automate

Load 90–180 days of bank and bill history, match deposits and debits, tune recurring-bill rules, and run seven days in shadow mode. After management signs off on variance tolerances, activate the twice-daily email and alert only on shortfalls, stale feeds, changed payroll or unexpected debits.

Before live credentials: Eleven accounts, the card issuers, cash roles, $1,000 alert threshold, and Whitney's sender address are identified. I still need monthly due dates and autopay status for each card/loan, Whitney's usual subject pattern and one redacted payroll example, QBO admin approval, Housecall Pro payout access, and email recipients. No accounting entries or money movement are part of this system.
